Who would need this?

If you would like to periodically keep backups of your data, either all or parts of the data, this guide will walk through how to get your data of out LOCATE into a spreadsheet file format.

Exports

There are two main avenues that you can use to get your data out of LOCATE. Exports being the primary solution to that. Virtually all modules have an export option which will email the user that executed the export a .CSV file containing all the data that was selected. To learn how to export data out of LOCATE, follow this Export CSV article that details the steps you need to take.

The above article will detail how to export data where a module has a grid. Not all modules have a grid, and in that event there will be a grey ‘Export’ button found on the top right corner of the module.

When exporting data for backup, we recommend not de-selecting any fields. The article above details how to selectively choose which fields you’d like exported, but for this type of export, you will want to leave all fields selected, including custom fields. Just ensure the select all button as described in the referenced article above is selected when running the exports.

Note that exports use filters provided in the grid search, so be sure to use the “Clear Filters” button to ensure that there aren’t any filters affecting the export results.

Reports

When exporting certain types of data, namely transactions such as historical sales orders or purchase orders, the exports option above only exports the order level data and not the line level data. For example, running a sales order export will give you the sales order number, customer, total price, address and other order level data, but will not export the items that were sold on that sales order. For this type of data, you will want to run an ‘Export Report’ in addition to the export method above, so that you have both the order level and line level data.

Location of Reports

Export reports are stored in the Reports module with all other reports available in your LOCATE instance, just click on Reports from the LOCATE main navigation menu.

Report Parameters

Report parameters determine what data should be pulled for the report. These fields are entirely up to the user to determine what data should be exported. The most common fields that have a major impact on what data is pulled is as follows:

  • Date Range
    • If you are backing up all data, then naturally “All Time” is the recommended option. However depending on how long you have been on LOCATE, and the amount of data that this will pull could potentially take quite a long time for the report to run and be available for download. Be prepared for long wait times when choosing the “All Time” option. Otherwise it may be recommended that export reports are run for shorter time periods on a regular basis.
    • Data Limits
      • In most cases reports will provide the data specified without issue, however if the parameters report on too much data, it is very possible that the report will fail.
  • Date Filter
    • This parameter will determine what data is pulled based on the date range selected, and the date field that is used within that range. For example, if you have a Date Range selected of “Previous Month” and a Date Filter of “Date Issued” the report will pull all orders issued in the previous month. Alternatively, if you choose “Date Created” in the Date Filter field, then report will pull all orders created in the previous month. If you have chose “All Time” in the date range field, then the Date Filter field is essentially irrelevant.
    • *NOTE: By default, LOCATE inserts the “Date Issued” option in the “Date Filter” in almost all transactional reports. This will inherently prevent unissued orders from showing up on the report, simply because unissued orders do not have an issued date. If you are attempting to export unissued transactions, you will want to change the “Date Filter” parameter to “Date Created” or “Created Date” as both issued and unissued orders possess this date value.
  • Order/Line Item Status
    • The status filters that are available in the parameters for both orders and lines will enable the user to pull only orders and/or order lines that meet the status requirement. For example, if the user wishes to only run the report for “Completed” orders, then provide that status in the Order Status parameter, and the report will only pull “Completed” orders.

Report Display Options

When running reports for backup purposes, it is recommended that these are run in conjunction with the corresponding module’s export as described in the previous section if applicable. For reports that report on orders and transactions, ensure that all Line Data display options are set to Yes. Ensure that all display options are set to Yes. Some reports have supplemental data for a specific dataset. For example the Customer Address List report provides a list of all addresses for your customers, while the Customer Export only provides default addresses. Ensure that all display options on reports are set to “Yes” when backing up your data. This ensures that you have all reportable data the report provides. By default, LOCATE reports have a number of preset parameters, and display options turned off that are less frequently needed. For backup purposes, it is best to set all display options to “Yes”.

Reports for data backup purposes should be run in a spreadsheet file format such as .CSV or .XLSX, and thus the Format As Single Page display option should also be set to yes to avoid duplicating report headers.

File Type

It is recommended that export reports are run in a spread sheet file type such as .CSV, .XLS, or .XLSX for multiple reasons. Standard PDF documents that are generated from LOCATE are only 8.5 inches wide, and may not accommodate all of the data on the report. Spreadsheet file types also make it easy to access and manipulate the data. Click on the grey Run As button at the top right corner of the report, and choose one of these spread sheet file formats *NOTE: Ensure that the “Format as Single Page” display option is set to ‘Yes’ when running export reports in spread sheet file formats

Report Profiles

If you plan to back up data using export reports on a regular basis, it is recommended that you setup report profiles that contain all of the display options and parameters for future use. You can also setup a report schedule so that the report using the selected profile and file format are automatically emailed to a desired address on a regular basis.

Important Notes Regarding Data

  • Data is not backed up by LOCATE Inventory, and cannot be retrieved once your subscription is cancelled and your user access has been removed
  • LOCATE provides robust data export modules and reports that allow you to get all of your data out of the platform in a structure that is easily manipulated to be used in another system
  • All of your data is available in LOCATE Inventory for retrieval and record keeping purposes via module exports, and export reports
    • LOCATE module exports are provided in .CSV file format
    • LOCATE export reports can be run in many formats including; .XLS, .XLSX, .CSV, .PDF and others
  • If you need data that is for some reason not listed or detailed below, please do not hesitate to reach out to support@locateinv.com for guidance
  • It is up to you to determine the best method for storing the data you retrieve from LOCATE, whether for continual backup purposes or permanent record-keeping due to an upcoming transition off of LOCATE.
    • LOCATE cannot make storage method recommendations for the data you retrieve out of the LOCATE Inventory platform

Tax Data

If you need to export tax data, LOCATE has a number of reports that provide tax information for historical and existing transactions which are listed in the table below. However you will want to log into your Tax Service (Taxify or TaxJar) platform and/or contact their support teams and export your tax data from the tax service platform, in addition to anything you would export out of LOCATE.

TaxJar – LOCATE doesn’t maintain a partnership with TaxJar, so we cannot provide detailed instructions on getting your tax information and data out of their platform. You will want to log into your TaxJar platform and/or reach out to their customer support to determine the best method for exporting or maintaining your data that is hosted on their service.

These reports are specifically designed to take data out of your LOCATE instance, and create a report that can be used as a direct import into the desired inventory platform. These reports can be accessed via the Reports module in LOCATE via search, they are not listed under any report category.
